Bilingual Maintenance Coordinator (English/Spanish)
The Bilingual Maintenance Dispatcher plays a vital role in supporting the efficient coordination and execution of maintenance services across Reedy & Company properties. This position requires fluency in both English and Spanish to effectively communicate with a diverse tenant base, vendors, and internal staff. The ideal candidate will possess strong organizational, communication, and problem-solving skills to ensure maintenance requests are handled quickly and professionally.
Service Request Management
Intake and Logging:
- Receive maintenance requests from tenants and internal staff via phone, email, and property management software in both English and Spanish.
- Accurately document all request details, including tenant name, contact information, property address, issue description, and urgency level.
- Assess the urgency of incoming requests, prioritizing safety issues, comfort, and lease obligations.
- Assign work orders to appropriate maintenance technicians based on availability, skill set, and job requirements.
- Monitor the lifecycle of each maintenance request from initiation to completion.
- Use maintenance software to track technician performance, response times, and work order completion.
- Generate reports and highlight recurring issues or improvement opportunities.
Dispatch and Technician Coordination
Scheduling and Routing:
- Create daily schedules and efficient routes for technicians to reduce response times and increase productivity.
- Adjust technician schedules in real-time based on emergency requests or shifting priorities.
- Serve as the primary point of contact between the office and maintenance technicians.
- Provide updates, directions, and job details to technicians throughout the day.
- Collaborate with property managers and other departments to coordinate repairs involving multiple units or vendors.
Inventory and Administrative Support
Inventory Management:
- Monitor supply levels of tools, parts, and materials.
- Submit purchase requests and coordinate deliveries to ensure technicians are properly equipped.
- Maintain accurate records of work orders, tenant communications, invoices, and vendor details.
- Assist with data entry, phone coverage, and general office duties as needed.
Customer Service
Tenant Communication:
- Professionally communicate with tenants in English and Spanish to provide updates and resolve maintenance concerns.
- Escalate unresolved issues to management when necessary.
- Schedule, dispatch, and follow up with external vendors and contractors.
- Monitor service quality and resolve performance concerns as they arise.
Qualifications:
Required:
- High school diploma or equivalent.
- Bilingual fluency in English and Spanish (verbal and written).
- Excellent communication, customer service, and interpersonal skills.
- Proficiency in Microsoft Office and maintenance software systems.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Experience in property management, facilities maintenance, or dispatching.
- Familiarity with maintenance terminology and building systems.
- Knowledge of Yardi or similar property management platforms.
Work Environment:
- Primarily office-based with minimal on-site requirements.
- Standard workweek with occasional overtime based on maintenance needs.
- Frequent sitting, typing, and use of computer equipment.
- Occasional lifting of items up to 25 pounds.
