Administrative Coordinator
Reedy & Company is seeking a proactive, bilingual Administrative Coordinator to serve as the central point of contact for all incoming communication—whether in person, by phone, text, email, mail, or online platforms, including social media. This individual will be the voice and face of our organization, ensuring that clients, residents, vendors, and prospects receive prompt, professional, and helpful service. The role includes routing inquiries to the appropriate department, supporting front desk operations, and engaging with the public through digital channels.
This is an ideal role for someone who is people-oriented, detail-focused, and comfortable balancing in-person guest services with digital communication responsibilities.
Key Responsibilities
Guest Services & Front Desk Operations
• Greet and assist all visitors, clients, vendors, and team members in a courteous and professional manner.
• Maintain a clean, organized, and welcoming reception and lobby area.
• Manage conference room bookings, office supply inventory, and other front desk logistics.
Inbound Communication Management
• Receive and route all incoming calls, texts, emails, and physical mail to the correct departments.
• Track and follow up on inquiries to ensure resolution and communication loop closure.
Social Media Monitoring & Response
• Monitor company social media platforms (e.g., Facebook, Instagram, Google, Yelp) for messages, comments, and reviews.
• Respond professionally and timely to questions, comments, and concerns.
• Flag issues or complaints for escalation to the appropriate internal teams.
• Collaborate with Marketing & Communications on tone, messaging, and approved responses.
Administrative & Office Support
• Perform clerical tasks such as data entry, scanning, document filing, and appointment scheduling.
• Assist with outbound messaging, resident notices, or campaign communication as needed.
• Support cross-functional teams by helping route internal communication and organizing basic reports or logs.
Mail & Package Management
• Accept, sort, and distribute incoming packages and mail.
• Manage outgoing mail and coordinate courier pickups.
Technology & Software Use
• Use multi-line phone systems, visitor management tools, Microsoft Office Suite, Google Workspace, and social media tools.
• Log interactions and relevant notes in internal systems (e.g., CRM or ticketing platform).
Safety & Compliance
• Issue visitor badges, maintain sign-in logs, and follow building access protocols.
• Report suspicious activity and help maintain a safe workplace environment.
Qualifications
Education
• High school diploma or equivalent required.
• Associate’s or bachelor’s degree in business administration, communications, or related field preferred.
Experience
• 1–3 years in an administrative, customer service, or receptionist role.
• Bilingual (Spanish/English) required.
• Experience responding to public inquiries on social media or customer review platforms preferred.
• Familiarity with the real estate, multifamily, or property management industry is a plus.
